Overview:

First Military Recruitment are currently seeking a Service Administrator on behalf of one of our clients.

Our client encourages applications from ex-military personnel however all candidates will be given due consideration.

Duties and Responsibilities:
  • To receive and respond to incoming customer communications via phone and email.
  • To define customer requirements by asking appropriate questions.
  • To ensure that the customer has confirmed that all of the necessary site requirements are in place to enable a prompt and satisfactory completion, e.g., power on, access, equipment installed, etc.
  • To liaise with key accounts by phone and email as required.
  • To book service visits and confirm with customers, engineers and others as required.
  • To arrange resources (engineers, stock, parts, tools, equipment, etc.) to enable the satisfactory completion of works.
  • To prepare and issue RAMS to the service manager for checking.
  • To issue and record service logs.
  • To issue and record hazardous waste consignment notes as required.
  • To advise of any resulting outstanding actions.
  • To supply the customer with copies of service logs, RAMS, test documents, consignment notes, etc.
  • To pass RAMS and engineers service logs to service manager for quoting and checking within two days of receiving from the engineers
  • Completion of orders including reconciling of quotes and customer POs, despatch of job for invoicing.
  • To raise quotations in response to service enquiries.
  • To enter and amend service orders on the system.
  • To despatch completed service orders.
  • To save service order files on completion.
  • To save office copies of service logs.
  • To submit quarterly returns of consignment notes to the Environment Agency.
  •  To schedule and book training as needed.
  • To maintain training records.
  • To liaise with service engineers and fulfil requirements (incl. stock in and out).
  • To comply with any legal, quality, H&S or environmental requirements.

Skills and Qualifications:
  • NVQ level 2 or equivalent.
  • IT Literate, working knowledge of Word, Excel and Outlook.
  • MRP (123 Insight).
  • Customer service skills.
